Manage workspaces

Workspaces are individual work areas. Each workspace represents a project or product managed on the same ALM Octane site. This topic discusses how to manage workspaces.

About workspaces

Workspaces are individual work areas, each representing a project or product managed on the same ALM Octane site.

Workspaces are associated with spaces. For details on workspaces, see Manage spaces (for space admins).

Enterprise Edition: Workspaces can be organized in categories called programs. For details on programs, see Organize workspaces into programs (Enterprise Edition).

Every space has at least one active workspace. the default workspace. The original name of this workspace is default_workspace. It can be renamed but it cannot be deleted.

Who manages workspaces? 

  • Space admins have full permissions to manage any workspaces they are assigned to. Space admins create, rename, modify, delete, and manage workspace content.

  • Admins for workspaces can manage workspace content. Because the workspace admin role can differ from space to space, admins for workspaces may have different capabilities.

    Note: Most roles can be customized. Roles and their permissions might be different for your organization.

What data do workspaces contain? 

Workspaces can contain data such as the backlog, application modules, tests, defects, customization settings, and so on.

Can workspaces share data?

Spaces that are shared Spaces that are isolated

Enterprise Edition: 

Workspaces associated with shared spaces can share items, such as releases, rules, and so on. These items are called shared entities.

To share data, define the entity for the associated shared space, and not for any specific workspace. For a list of entities that can be shared, see Manage spaces (for space admins).

Define these entities in a specific workspace if you want them available only in that workspace.

You can define some entities, such as rules and forms, both for an individual workspace and for all workspaces associated with a shared space.

  • Space admins can define these entities for the shared space.

  • Both space admins and the admins for workspaces can define these entities for individual workspaces.

Backlog items in workspaces can be associated with programs.

Workspaces associated with isolated spaces do not share data.

Workspaces associated with isolated spaces do not share data.

Edit workspace content

Admins with access to the workspace Settings area can edit the settings on the workspace-level.

  1. In Settings > Spaces, select a workspace.

  2. Edit the workspace contents by changing the workspace name, adding or editing releases, workspace calendars, teams, DevOps settings*, rules, user-defined fields (UDFs), forms, and workflow phases.

    *DevOps settings include CI servers, Testing Tools, test assignment rules, settings for SCM integration, and Slack integration.

    Note: If some of these workspace settings are not available, they are probably shared across multiple workspaces. Your space admin can make these updates for you on the corresponding shared space.

Manage users

Workspace admins and space admins with the right permissions can manage users for a workspace.

Space admin permissions cannot be modified in the workspace context. They can be modified at the space level.

Organize workspaces into programs (Enterprise Edition)

Admins with access to the workspace Settings area can organize workspaces into virtual categories called programs. This is particularly useful for SAFe Large Solution configuration support.

To create programs:

  1. In Settings > Spaces, select a workspace.

  2. Click Programs.

  3. Click + to add and name a program.

Tip: After creating programs, we recommend you access the Entities tab, and edit forms for the relevant entities to include the Program field. This will enable users to associate entities such as defects or tests with their related programs.

Manage workspace storage

Available workspace storage is set on the space level, and not per workspace. This means the amount of total available workspace storage is shared between the workspaces in the space.

Site admins can set the maximum size for storage per space with the STORAGE_MAX_SIZE configuration parameter. For details, see Configuration parameters.

View the Activity log

For each workspace, you can view all actions on ALM Octane entities in the Activity Log tab.

The activity log tracks Create, Update and Delete actions on entities. In addition, the log tracks the following actions: Generate report and Import entities.

Tip: You can filter the grid by activity type. Open the filter bar, and select the Action field to filter on.

Each activity entry is assigned an ID number. By default, each entry shows the action, entity type entity ID, User, Time stamp, and Modified fields.

The history log, available in a grid view, supports sorting and filtering. Click an activity's ID to view the full audit history for the entity.

For entities that were moved from one workspace to another, the history tab will show changes to the entity from all workspaces to which the entity belonged.

Tip: By default, only workspace admins can see the Activity Log tab. To grant permissions to other users, in the Settings > Spaces section, select a shared space. Then open the Permissions tab, and in the General System Action page, enable View Activity log.
