Favorites

This topic discusses how you can save display settings as favorite views. You can reload favorites and share them with other users.

Save a display as a favorite

Save a module's display settings as a favorite view. The favorite saves the following settings: filter, selected columns, sort order, and grouping.

Each module has its own set of favorites.

In the Dashboard module, the favorite saves all the displayed widgets and their layout.

To save the module's display view as a favorite:

  1. In the top banner, open the Favorites menu, and click Save New Favorite .
  2. In the Save Favorite dialog box, enter the name for your favorite.

    When a favorite is selected, its name is displayed in the main banner. This applies from ValueEdge and ALM Octane 16.0.400 and is true for version 16.1.100 too.

  3. To share the favorite with all users or with a specific team, select the necessary option.

    Note: Users with the predefined Viewer role cannot share favorites.

  4. Click Save.

If you change the display settings of an existing favorite, and then save or load it, the favorite icon changes to . To re-save the favorite with the current settings, in the Favorites menu, select Update Favorite.

Manage favorites

You can manage your personal, team, or public favorites in the Favorites menu.

To manage favorites:

  1. In the top banner, open the Favorites menu , and then click Load/Manage.
  2. In the Load/Manage Favorites dialog box, perform the following actions on the favorites:

    Action Description
    Load Display the favorite view.
    Link Copy an internal link to a favorite. The internal link is intended for workspace users.
    Share Share a favorite with a specific team or with all users.
    Create public link

    Dashboard favorites: Create a link that you can share externally. For details, see Share dashboards externally.

    Note: When the public favorite is published, you can copy its external link already from the Favorites menu.

    Pin Add a public favorite to the My Favorites category.
    Delete Delete a favorite. You can delete only favorites that you own.

To better organize or narrow down the list of your favorites, you can search, sort, or filter the list.

Share dashboards externally

You can share a public link of a dashboard favorite with non-ValueEdge and ALM Octane users. External users can access the dashboard without the ValueEdge and ALM Octane login.

ValueEdge and ALM Octane Editions: Sharing dashboards externally is available for Enterprise edition only.

Overview

The public link displays live data from ValueEdge and ALM Octane in a read-only mode and with a 15-minute delay.

Users with the public link can view the same widgets with the same data as displayed in the favorite inside ValueEdge and ALM Octane. Widget details are available on hover over.

You can share public links of only those favorites that you created.

Tip: To share links to other favorites, you can load the favorites, save them as your favorites, and then copy their public links.

Using public links, you can:

  • Share a dashboard favorite with stakeholders who may not be users in ValueEdge and ALM Octane.
  • Embed the dashboard in presentations or online documents, such as SharePoint or Confluence.

The same data access permissions that apply to the user that created the public link also apply to the data displayed using the link.

Version 16.0.300 and later: Admins can control whether external users can access a public link of a dashboard favorite with their organization single-sign-on (SSO) authentication method.

Prerequisites

To enable sharing dashboards externally, your admin needs to set several configurations. For details, see Public favorite links - admin tasks.

To share a dashboard outside ValueEdge and ALM Octane:

  1. In the Dashboard module, open the Favorites menu, and then click Load/Manage.
  2. In the My Favorites category, click the Public link button alongside the favorite that you want to share externally.

  3. In the popup, set an expiration date for the public link. After the expiration date, external users will not be able to access the dashboard by following the link.

    Tip: Leave the date empty to allow the public link to work perpetually. You can set or change the expiration date later.

  4. In the same popup, click Create public link. The public link is created and copied to your clipboard.

    To copy the same public link again, click the activated Public link button and click Copy public link.

Embed public favorites

You can embed a public dashboard in online pages, such as SharePoint or Confluence.

For example, to embed a dashboard in a SharePoint page:

  1. In your SharePoint page, click Embed Code.
  2. Enter the following code:

The size of the generated page is determined by the size of the browser in which the public link is opened.
You can also determine the dimensions explicitly using the width and height parameters.

Revoke a public link

To revoke a public link, click the activated Public link button, and then click Revoke.

After a public link is revoked, external users will not be able to access the dashboard with the same link.

Tip: To share the dashboard externally again, you can create a new public link. The new public link will be different from the previous public link.

Export dashboards to HTML

Available in: ValueEdge and from ValueEdge and ALM Octane 16.1.100

You can export a dashboard favorite as an independent .html file. This can help you get a static version of the dashboard, and use it as a baseline or for audit purposes. For details, see ALM Octane dashboard.
