Filter items

Filters let you focus on what you want to see by displaying only the items that meet your criteria. Filtering is available in all ALM Octane modules, including the dashboard. Filter options include context filters, grid filters in each module, and tags.

Use filters

You filter with a combination of release or sprint context filters, grid filter options, and tags.

Filtering is not possible on memo fields, long string fields, or multi-select fields.

To use filters:

  1. In the Backlog module, from the release drop-down list, select a release or releases to display, and select a sprint or sprints if necessary.

    Select and click on a tag for a release to display the sprint filter.

    ALM Octane displays the selected releases or sprints as tags:

    Note: Releases or sprint are not selected as the active tag when first added.

  2. Click the tag for the releases or sprints to display.

  3. In the grid, click Add Filter and select the attribute and the conditions to use:

  4. If necessary, next to your existing filter condition, hover to display the condition expression selector:

  5. In the drop-down list, select AND or OR, depending on the logic required for your filter.

  6. Add filters with the AND and OR logic as needed.

  7. In the Tags tab in the right pane, click the environment and attribute tags or user tags:

    • Click a tag indicator to select it. The selected tag indicators display in color. Click again to clear the selection.

    • Right-click to set a Not condition. Right-click again to clear the selection.

      Note: If you right click to set a Not condition, ALM Octane Help clears selected Yes conditions. Likewise, if you set other Yes conditions, ALM Octane clears the current Not conditions.

    • If a tag is not displayed, in the attribute group, expand the search dropdown and add missing tags:

  8. In the grid, click a column header to sort the items.

    Tip: If you want to sub-sort additional columns, press the SHIFT key and select the additional items before sorting. ALM Octane numbers the columns to help you remember the sort order.

ALM Octane updates the backlog grids and dashboard widgets according to the current filter.

The current filter also affects selected fields within an entity, such as the Backlog Coverage field for tests.

Note: If you set more than one OR conditions:

  • If you add a tag in a single OR statement in the grid filter, the Tags panel adds diagonal gray lines on the selected tag.

  • If you add the same tag in all OR statements, ALM Octane highlights the tags as normal.

Create a cross filter

By default, a filter uses the available fields of the items you are currently viewing (for example, Features, Backlog Items, and so forth). Cross filters extend the reach of filters with the ability to filter on fields of other related items.

To create a cross filter condition in the grid, Board View, or dashboard graphs:

  1. In the grid, click Add Filter, and from the list of fields, select the field to use.

    Fields which support cross filter conditions have an arrow and a link icon .

  2. Click on the arrow to display the cross filter attributes to use:

  3. Select the attribute to use for the cross filter.

    ALM Octane displays the cross filter tag as a composite tag:

Save filters in your favorites

When you create a filter or set display properties, save these settings as a favorite.

Favorites are context sensitive. You must be in the same module to view and load a favorite for that module..

Tip: Does the Favorites icon look like this: ? This means that you loaded a favorite and changes were made to the view. Save the current view as a new favorite.

To use favorites, do the following:

Add a favorite
  1. In the top banner, click Favorites.

  2. In the dialog, click + Add to favorites.

    If you update filter or display settings, select Save Favorite instead.

  3. Give the current display a favorite name.

  4. To share the favorite with others, check the Share check box. Select the teams to share with, or Share with all.

Load a favorite
  1. Click Favorites and then Load/Manage.

  2. From the list of favorites, select the necessary favorite:

    • My Favorites: private favorites not shared with others

    • My Team Favorites: favorites shared by me or my team members

    • Public Favorites: favorites shared with all

  3. From the Favorite details, click the Load button.
Share a favorite with others
  1. Click Favorites and then Load/Manage.

  2. From the list of favorites, select the favorite to share

  3. In the favorite details, click the Share button .

  4. Select the teams to which to share the favorite or select Share with all.

  5. In the favorite list, click the Copy link button . Paste the link into an email and send to the relevant persons.
