Portfolio types

A portfolio type enables you to define and maintain a common set of portfolio settings for multiple portfolios.

Create portfolio types

Create a portfolio type before creating your first portfolio. An out-of-the-box portfolio type: Enterprise is provided, ready for you to use.

Note: The settings for the portfolio type Enterprise are different for fresh install and upgraded users:

  • For fresh install, the system default settings are used.

  • For upgraded users, the settings configured in the Global Portfolio Settings page before the upgrade are used. All the portfolios created before the upgrade belong to this portfolio type.

Prerequisite:

You must have the Edit All Portfolio Types access grant.

To create a portfolio type:

  1. Click the Administration button in the masthead.

  2. From the Administration menu, click Portfolio Management > Manage Portfolio Types.

  3. On the Portfolio Types page, click Add to add a new portfolio type.

  4. Complete the General section as described below.

    Field Description
    Enable This Portfolio Type

    Turn on the Enable This Portfolio Type switch to enable the portfolio type. When the portfolio type is enabled, it can be selected when creating a portfolio.

    Portfolio Type Name

    Give the portfolio type a unique name.

    Abbreviation

    Provide an abbreviation (up to two characters) for the portfolio type. The abbreviation is displayed on the portfolio type icon.

    If no abbreviation is provided, the initials of the first two words of the portfolio type name are used as the abbreviation.

    Preview

    Preview the portfolio type icon.

    Description Provide the description for the portfolio type.
  5. Complete the Tabs section as described in Set up portfolio tabs.

  6. Complete the Portfolio Security section as described in Configure portfolio security.

  7. Complete the Advanced section as described below.

    Field Description
    Allow portfolio manager to override the following settings

    Select to allow portfolio managers to override the following settings.

    The financial information tracks capital costs

    Specify if the portfolio tracks capitalization for costs.

    When capitalized cost is enabled for the portfolio:

    • The Expense Type column is available in the portfolio's Financials tab. You can group or filter the portfolio cost and budget by Expense Type.

    • For cost and budget manually entered in the portfolio's Financials tab, you can specify whether the cost or budget line you added is for capital expenses or for operating expenses.

      Note: This option is available only when cost capitalization is enabled in the system level by setting the COST_CAPITALIZATION_ENABLED parameter to true.

  8. Click Save.

Set up portfolio tabs

This section describes how to configure the tabs to be displayed in the portfolio details page and how to configure the layout of each displayed tab.

To set up portfolio tabs:

  1. The Available Tabs area displays the tabs that can be displayed in a portfolio's details page. To display a specific tab in a portfolio, drag and drop it to the Selected Tabs area.

    The following options are available.

    Note: The Contents, Portfolio Epics, and Timeline tabs are available for selection only when the following parameters are set to true:

    • SHOW_PORTFOLIO_CONTENTS_IN_PORTFOLIO
    • SHOW_PORTFOLIO_EPICS_IN_PORTFOLIO
    • SHOW_PORTFOLIO_TIMELINE_IN_PORTFOLIO
    Tab Description
    Overview

    Use to display portfolio related information. For details, see Portfolio overview.

    If you drag the Overview tab to the Selected Tabs area, the Settings button displays on the tab. Click the button to configure portlets displayed on this tab. For details, see Configure portfolio Overview tab .

    Backlog

    Use to include contents in your portfolio, review the contents and decide what to invest in. It includes various views to help you review the contents from different perspectives. For details, see Portfolio backlog.

    If you drag the Backlog tab to the Selected Tabs area, the Settings button displays on the tab. Click the button to configure the layout of this tab. For details, see Configure Backlog tab.

    Contents

    Use to add or remove portfolio contents. For details, see Portfolio contents.

    Portfolio Epics

    Use to manage agile initiatives at the enterprise scale. For details, see Portfolio epics.

    Timeline Use to display the progress and timeline of portfolio contents. For details, see Portfolio timeline.
    Strategy

    Use for portfolio strategic planning. For details, see Portfolio strategy.

    If you drag the Strategy tab to the Selected Tabs area, the Settings button displays on the tab. Click the button to set the default strategic themes and business goals for portfolios that use this portfolio type. For details, see Set strategic themes and business goals.

    Roadmap

    If you have the Application Portfolio Management installed, you can visualize the Roadmaps in the portfolio level. See Introduction to APM Roadmap for details.

    Financials

    Use to track and manage the costs, benefits and budgets of a portfolio. For details, see Portfolio financials.

    If you drag the Financials tab to the Selected Tabs area, the Settings button displays on the tab. Click the button to configure this tab. For details, see Configure portfolio Financials tab.

    Dependencies

    Use to view the dependencies associated with portfolio backlog items. For details, see View portfolio dependencies.

  2. The order in which the tabs appear in the portfolio details page is the same as they are listed in the Selected Tabs area. Drag and drop the tabs to place them in the order you want.

  3. To deselect a tab, move it to the Available Tabs area or click the Delete button on the tab.

Note: If you allow portfolio managers to override the portfolio type settings in their portfolios, select the Allow portfolio manager to override the following settings option. Otherwise, portfolio managers cannot edit their portfolio settings.

Configure portfolio security

Portfolio security controls who can view and edit the portfolio.

To configure the view and edit access to a portfolio:

  1. In the Set View/Edit Access area, do either of the following:

    • To give view or edit access to individual users, click Add User.
    • To give view or edit access to a group of users, click Add Security Group.

    The portfolio managers are by default given the View Portfolio and Edit Portfolio accesses and these accesses cannot be removed.

  2. Select the users or security groups.

    The users or security groups you add are automatically given the View Portfolio access, and it cannot be removed.

  3. To allow the user or security groups to edit the portfolio type, select the checkbox in the Edit Portfolio column.

  4. Click OK.

Note: If you allow portfolio managers to override the portfolio settings in their portfolios, select the Allow portfolio manager to override the following settings option. Otherwise, portfolio managers cannot edit their portfolio settings.

Impact of portfolio type settings on portfolios

If you change the settings of a portfolio type, it has the following impact on the existing portfolios of the portfolio type:

  • When a portfolio type setting is overridable, the changes to the setting do not apply to the existing portfolios.
  • When a portfolio type setting is not overridable, the changes to the setting are copied to the existing portfolios.
