Using the PPM Dashboard

This topic describes how to personalize and use your PPM Dashboard to make sure the Dashboard provides you with real-time data of all your PPM-based activities.

Open a PPM Dashboard page

You PPM Dashboard can have one or more Dashboard pages. To open a Dashboard page:

  1. From the PPM menu, select Dashboard.

    The Private menu does not appear if you do not have private Dashboard page. For details, see Add private Dashboard pages.

  2. If you want to open a private Dashboard page, hover over Private and select a private Dashboard page.

    If you want to open a shared Dashboard page, hover over Shared and select a shared Dashboard page.

Personalize the PPM Dashboard

Personalizing the PPM Dashboard refers to making changes to your PPM Dashboard and PPM Dashboard pages.

You can personalize your PPM Dashboard by using the Personalize Dashboard page. To personalize the PPM Dashboard, you can do the following:

Add private Dashboard pages

By default, you do not have private Dashboard pages unless you manually add them.

To add a private Dashboard page:

  1. From the PPM menu, select Dashboard > Personalize Dashboard.
  2. You can add a blank page or a preconfigured page as your private page.

    To add a blank page:

    1. Select the Private pages folder.
    2. Click , and select New Page.
    3. In the Edit page pane, you can edit the page name, set the page refresh frequency, and add portlets to the page.

      For details about adding portlets to a Dashboard page, see Add portlets to a Dashboard page.

    To add a preconfigured page:

    1. Select the Private pages folder.
    2. Click , and select Add preconfigured pages.
    3. In the Add Preconfigured Pages window, select the preconfigured PPM Dashboard pages you want to add as your private Dashboard pages.

      The pages you selected are added immediately to your PPM Dashboard.

Add groups of Dashboard pages

You can arrange PPM Dashboard pages into groups for easy categorization. You can expand and collapse these groups in the PPM menu.

To add a new group to the list of PPM Dashboard pages:

  1. From the PPM menu, select Dashboard > Personalize Dashboard.
  2. Select the Private pages folder, click , and then select New Group.
  3. The New Group folder is created. In the Edit group pane, edit the group name.
  4. To add Dashboard pages to the group, keeps the group folder selected, and select > New Page.

Copy, delete, and move Dashboard pages

To copy, delete, or move a Dashboard page:

  1. From the menu, select Dashboard > Personalize Dashboard.
  2. Select the Dashboard page, and use the following icons.

    Click this to copy the Dashboard page.
    Select the Private pages folder, and click this to paste the Dashboard page.
    Click this op delete the Dashboard page.
    Click this to move the Dashboard page up the Private pages list.
    Click this to move the Dashboard page down the Private pages list.

Add portlets to a Dashboard page

You can add portlets to a Dashboard page either from the Personalize Dashboard page or from the specific Dashboard page.

To add portlets to a Dashboard page:

  1. Open the Add Portlets window in either of the following ways.

    From the Personalize Dashboard page
    1. From the menu, select Dashboard > Personalize Dashboard.
    2. Select the Dashboard page where you want to add portlets.
    3. In the Edit page pane, click Add Portelts.
    From the specific Dashboard page
    1. From the menu, select Dashboard > <dashboard_page_name>.
    2. Click the Add Portlets icon.
  2. In the Add Portlets window, search for the portlets you want to add.

Preview a Dashboard page

You can preview a Dashboard page during the personalization process. This allows you to view whether the Dashboard page is displayed in the same way as you expect.

To preview a Dashboard page:

  1. From the menu, select Dashboard > Personalize Dashboard.
  2. Select the Dashboard page.
  3. In the Edit page pane, click Preview.

Personalize portlets

Personalizing portlets refers to making changes to the portlets in your private Dashboard pages. This includes the following:

Edit portlet preferences

You configure portlet preferences to decide how data in a portlet is displayed.

To edit preferences of a portlet:

  1. Open the Edit Preferences page of a portlet in either of the following ways:

    • From the Personalize Dashboard page, select the Dashboard page that contains the portlet, and in the Edit page pane > Portlets section, click the Edit portlet preferences icon in the target portlet.
    • From the Personalize Dashboard page, select the portlet.
  2. Each portlet can be unique. The available preference options of the portlet depend on the portlet definition is defined.

    Generally, you can personalize a portlet in the following ways:

    • Change the title of the portlet
    • Configure the filters to capture and display the data you want.
    • Choose display columns
    • Configure display options
    • Arrange data to determine how the portlet data is grouped

Move portlets on Dashboard pages

You can move portlets in the same Dashboard page or move portlets among Dashboard pages.

To move a portlet in the same Dashboard page:

  1. From the menu, select Dashboard > Personalize Dashboard.
  2. Select the Dashboard page that contains the portlet.
  3. In the Edit page pane > Portlets section, drag and drop the portlet to a desired location.

To move a portlet to another Dashboard page:

You use copy and paste or cut and paste feature to move a portlet to another Dashboard page.

  1. From the menu, select Dashboard > Personalize Dashboard.
  2. Select the portlet, and click the copy or cut icon.
  3. Select the Dashboard page that you want to move the portlet to, and click the select icon.

Delete portlets

You can delete a portlet in either of the following ways:

  • From the Personalize Dashboard page, select the Dashboard page that contains the portlet, and in the Edit page pane > Portlets section, click the Remove portlet from page icon in the target portlet.
  • From the Personalize Dashboard page, select the portlet, and click the Delete icon in the toolbar.

Change width of portlets

Decide whether a portlet is displayed in the wide or marrow size.

  1. From the Personalized Dashboard page, select the Dashboard page that contains the portlet.
  2. In the Edit page pane > Portlet section, locate the target portlet.
  3. Click the Set portlet width icon to toggle the portlet display size between wide and narrow.

Export portlets to Excel

Clicking Export to Excel on a portlet exports the portlet data to an xlsx file (Microsoft Excel file) or an xls file (HTML file).

  • If you select the option Export to HTML Excel in the Edit Preferences page, portlet is exported to an xls file.
  • If yo do not select the option Export to HTML Excel in the Edit Preferences page, the portlet is exported to an xlsx file.

Note: The Export to HTML Excel option is only available in the Edit Preference page of builder portlets.

Maintain HTML data in the exported xlsx file

If you use the Export to Excel functionality, the format of the data which is maintained in the HTML files may be lost in the Excel files. For example, if you export a portlet with colors to Excel, the colors are not displayed in the Excel file.

To fix this issue, you should add a new column as the image field when defining the portlet data source. The value of the image field should be in the following format:
<img src="http://<ppm_base_url>/itg/web/knta/drv/images/<corlor>.gif"/>

Then when you export the portlet to Excel, the image field will be filled with the color specified by the field value in the Excel file.
