Configure participants for request types

You can give users different levels of access to requests of a given type by configuring participants for the request type.

Configure request participants for a request type

You can add, edit, or remove request type participants from the Request Type Workbench.

To add participants to a request type:

  1. Log on to PPM.

  2. From the PPM menu, click Open > Administration > Open Workbench.

  3. On the shortcut bar of the PPM Workbench, click Demand Mgmt > Request Types.

  4. Open a request type.

  5. In the Request Type window, click the User Access tab.

  6. Click New.

  7. In the Participant Security Window, do one of the following:

    • To add one or more security groups as participants to the request type:

      1. At the top of the window, select Enter a Security Group Name from the list.

      2. Use the Security Group auto-complete to select one or more security group names.

      3. Click Add.

    • To add one or more individual users as participants to the request type:

      1. At the top of the window, select Enter a User Name from the list.

      2. Use the User Name auto-complete to select one or more user names.

      3. Click Add.

    • To add a standard token that resolves to a list of user or security groups as request type participants:

      1. At the top of the window, select Enter a Standard Token from the list.

      2. Use the Standard Token auto-complete to select a standard token that returns the users or security groups you want to add as participants to the request type.

      3. Click Add.

        The value displayed in the Security Type field is based on the token you selected. To add another token, repeat step i through step iii.

        Note: For information about standard tokens and how to use them, see the Commands, Tokens, and Validations Guide and Reference.

    • To add a user-defined token that resolves to a list of users or security groups as request type participants:

      1. At the top of the window, select Enter a User Defined Token from the list.

      2. If the token is defined, provide the token name in the User Defined Token field. Otherwise, click Tokens to open the Token Builder and define a new token that returns the users or security groups you want to add as participants to the request type.

        Note: For information about how to use the Token Builder to create user-defined tokens, see the Commands, Tokens, and Validations Guide and Reference.

      3. In the Security Type list, select the security type to which the token resolves.

      4. Click Add.

      5. To add another user-defined token, repeat step ii through step iv.

      6. Click OK.

    The User Access tab lists the selected participants.

  8. Give the participants the necessary access rights by clicking the check boxes in the corresponding columns:

    Access right Description
    Create Allows the user to create requests using this request type.
    View Allows the user to view requests of this request type.
    Edit Allows the user to edit requests of this request type.
    Cancel Allows the user to cancel requests of this request type.
    Delete Allows the user to delete requests of this request type.
    Search

    Allows the user to search this request type in advanced request search. For details, see Search for requests by generic request field values.

    Note: You can give the Search access right to participants who are individual users or members of a security group. You cannot give the Search access right to participants that are resolved from a token.

  9. On the User Access tab, click OK.

To edit participants on or to delete participants from a request type:

  1. Open a request type from the PPM Workbench.

  2. In the Request Type window, click the User Access tab.

  3. Select the target participant and perform the following actions:

    • To edit the participant, click Edit and then edit the access rights for the participant.
    • To remove the participant, click Remove.
  4. On the User Access tab, click OK.

Restrict request access grants for request creators

You may want to restrict request creator's permissions on a request in some scenarios like the following:

  • The request creators are assigned a new role that should not have enough permission to view or edit the requests they created.

  • You delegate the creation of a request to someone who should not be able to view or edit the request after it is created.

You can restrict the creator's permissions on a request by configuring the view and edit access grants for the creator.

To configure view and edit access grants for the request creator:

  1. Open the target request type from the PPM Workbench.

  2. Click the User Access tab.

  3. Locate the Created By participant row, and select or clear the check boxes of the access rights according to your business needs.

    By default, the View and Edit access rights are selected.

    If you clear these two check boxes, the request creator cannot view or edit the request unless other security settings provide the creator with the view and edit access rights to the request.

  4. On the User Access tab, click OK.
