Configure Backlog tab

You can change the name of the Backlog tab, decide which types of entities can be included in a portfolio, which columns are available for selection in the Backlog tab, and how the tab is displayed when opened for the first time.

Configure portfolio Backlog tab

You can configure the Backlog tab for all portfolios of a specific portfolio type, or for an individual portfolio.

To configure the Backlog tab:

  1. To configure the Backlog tab for all portfolios of a specific portfolio type, open the target portfolio type.

    To configure the Backlog tab for an individual portfolio, open the target portfolio, click ... > Portfolio Settings in the top-right corner.

  2. In the Tabs area, click the Settings button on the Backlog tab.

    Note: The Settings button is available only when you select to display the Backlog tab in a portfolio by dragging it to the Selected Tabs area. For details, see Set up portfolio tabs.

  3. Do the following to configure the Backlog tab:

Change tab name

Applicable in the portfolio type settings only.

You can change the display name of the Backlog tab to fit your business needs.

To change the tab name:

  • Enter a new name in the Change Tab Name field.

The new name applies to all portfolios that are created using this portfolio type.

Set entity type in backlog

Set which types of entities can be included in a portfolio.

To set entity type in backlog:

  1. In the Set Entity Type and Columns section, click the Settings button .

  2. In the Set Entity Type and Columns page, the Set Entity Type in Backlog area, click + Add.

  3. From the list, select the types of entities that can be included in a portfolio.

    Only entities of the portfolio types and proposal types can be included in a portfolio.

  4. Click OK.

Set displayed columns

In the portfolio Backlog tab, there are already some predefined columns that portfolio managers can choose to show or hide. In addition to these columns, you can configure which fields portfolio managers can display as columns in the portfolio Backlog tab.

To set the displayed columns:

  1. In the Set Entity Type and Columns section, click the Settings button .

  2. In the Set Entity Type and Columns page, the Set Columns in Portfolio's Proposals/Projects/Assets area, click + Add.

  3. From the list, select the columns portfolio managers can choose to display in the portfolio backlog.

    The fields that can be selected are the combination of all available fields from the selected entity types in Set entity type in backlog.

  4. Click OK.

Set backlog default layout

Use the following options to set the default layout of the Backlog tab:

Note: If you allow portfolio managers to override the Backlog tab settings in their portfolios, enable the Allow portfolio manager to override the following settings option. Otherwise, portfolio managers cannot edit the Backlog tab settings in their portfolios.

Option Description
Set Portfolio Backlog Default Layout

Set the default layout of the portfolio Backlog tab. The settings include the following:

  • Which view is used
  • Which columns are displayed
  • Column width
  • Column sequence
  • Group-by fields
  • Filters
  • Sorting

For details of how to set them, see Portfolio backlog views.

Supported views: Plain List, Hierarchy, Board, and Roadmap.

Supported group-by fields

  • Type, Program, Portfolio, Status, Strategic Theme, Overall Health, Cost Health, Schedule Health, and Issue Health

    If you group backlog items by strategic theme, backlog items should have the same strategic theme name and color to be grouped together.

  • All the other auto-complete-list, drop-down-list, checkbox, radio button, and tag fields that are selected to display in Backlog tab. For details, see Set displayed columns.

  • Planned Start Period and Planned Finish Period fields do not support grouping.

Supported filters

  • In the portfolio type settings page:

    Cost Health, Issue Health, Overall Health, Schedule Health, Status, Type, and the other custom list-validated auto-complete-list and drop-down-list fields, checkbox, radio button, and tag fields that are selected to display in Backlog tab.

  • In the portfolio settings page:

    Type, Program, Portfolio, Status, Strategic Theme, Overall Health, Cost Health, Schedule Health, Issue Health, Planned Start Date, Planned Finish Date, all the other drop-down-list, auto-complete-list, checkbox, radio button, tag, and text area fields that are selected to display in Backlog tab. For details, see Set displayed columns.

Select Aggregable Fields

Click Add to select the fields whose values are aggregated and displayed in the group-by line after portfolio backlogs are grouped.

The aggregable fields are sorted in the same order as they are in the field list.

Default aggregable fields:

  • Approved Budget
  • Forecast Cost
  • Actual Cost
  • Forecast Benefit
  • Actual Benefit

Supported aggregable fields:

  • System cost fields: Approved Budget, Forecast Cost, Actual Cost, Forecast Benefit, Actual Benefit, Approved Capital Budget, Approved Operating Budget, Forecast Capital Cost, Forecast Operating Cost, Actual Capital Cost, and Actual Operating Cost
  • Custom numeric and currency fields that are selected to display in Backlog tab. For details, see Set displayed columns.
Set Backlog Board View Default Layout

Set how the portfolio backlog Board view is displayed when a user opens the view for the first time.

Set board's column and swim lane

  1. Use the Column list to select a field as the board's column.
  2. To hide the empty columns, turn on the Hide Empty Columns switch.
  3. Use the Swim Lane list to select a field as the board's swim lane.
  4. To hide the empty swim lanes, turn on the Hide Empty Swim Lanes switch.

Configure tooltip for Board cards and Roadmap Gantt charts

  1. Click Add to select information for Board card display. The selected information also appears as tooltip for the corresponding backlog item in the Roadmap view.

    All portfolio backlog information are available for selection.

    Default information for display on a card: Name, Type, Status, Strategic Theme, Cost Health, Schedule Health, Issue Health, and Project Manager (if it is selected in the Set columns for portfolio's proposals/projects/assets section)

  2. Drag items on the card to adjust their order.

  3. Click Restore to default to revert to the default settings. You can preview how the card looks like on the left.

Set Backlog Roadmap View Default Layout

Configure the default layout of Roadmap view, including:

  • Bar color

    Select the color for the bars in the Gantt chart:

    • Default color. Bars are displayed in light blue.
    • Strategic theme color. A bar applies the color of its aligned strategic theme.
  • Tooltip

    Configure what information is displayed when you hover over a backlog item. The steps to configure the tooltip are the same as configuring tooltip for Board cards and Roadmap Gantt charts. For details, see Set Backlog Board View Default Layout.
