Manage user report files

In the Administration Console, you can add user report files, assign them to a user report, download them to your work area, or import updated files.

Add report files

When you add a report file, you can assign it to a user report definition.

A user report file can be the main (default) executable file or an auxiliary file used when running a report.

To add a report file:

  1. In the Administration Console, go to Database Management > User reports administration > User report files.

  2. In the User Report Files toolbar, click New.

  3. In the New Report File dialog box, specify the report file details:

    Field Description
    ID Enter a name for the user report file, up to 25 characters long.
    Revision Enter the revision level of the report file, up to 15 characters long.
    File location to add from

    Enter the path to the report file, or click the browse button and navigate to the file. The path must not exceed 240 characters.

    Dimensions CM imports the content of the file into the database and associates it with the report file ID at the Revision.

    Filename when running report Enter the name of the report file to run, up to 240 characters. This is also the default file name when exporting the report file to a location specified by the user.
  4. Click OK.

Assign a user report file

After adding a report file to the base database, you can assign it to a user report. You can also assign a new report file that hasn't been added yet. After assigning the file, you can set it as the default report file for the user report.

To assign a report file:

  1. In the Administration Console, go to Database Management > User reports administration > User reports definitions.

  2. In the navigation pane, select the report definition to which you want to add a report file.

  3. In the Report Files section of the content area, click the Assign report file button and select Existing report file.

    Note: To assign a report file that hasn't been added yet, select New report file and provide information about the file. For details, see the New Report File dialog box.

  4. In the Assign Report File dialog box, specify the following report details:

    Field Description
    Existing report file

    From the list of available report files, select the file to assign to the report definition.

    Runs Report?

    Select to set this report file as the default file that is executed when running a report. Dimensions CM retrieves the report file from the database to run the report.

    Note: You can specify only one default file for each report definition. If the default file has already been defined, your current file takes precedence, and the other file no longer runs the report.

  5. Click OK.

  6. To set this report file as the default file for the user report, in the Report Files section of the content area, select the report and click the Set as default button.

  7. In the Set Default Report dialog box, click OK to confirm.

Unassign a user report file

Cancel the report file assignment if you no longer want the report file to be associated with the user report. When unassigning a file, you can choose to remove it from the base database.

Note: You cannot unassign a file that is the default file for the user report. First, set another file as the default, and then unassign the original report file.

To unassign a report file:

  1. In the Administration Console, go to Database Management > User reports administration > User reports definitions.

  2. In the navigation pane, select the report definition from which you want to remove a report file.

  3. In the Report Files section of the content area, click the Unassign report file button. The Unassign Report dialog box opens.

  4. To delete the report file from the database, select the Delete report file from database? option.

  5. Click Yes.

Export and import user report files

When working with user report files, you can download them to your work area. To replace the contents of a report file in the Administration Console, you can import an updated report file.

To export or import a report file:

  1. In the Administration Console, go to Database Management > User reports administration > User reports definitions.

  2. In the navigation pane, select the report definition from which you want to export or import a report file.

  3. In the Report Files section of the content area, select the relevant file.

  4. To download the report file, click the Export Report File button. Depending on your browser settings, the file is downloaded automatically, or you may need to specify the file path to which to export the file contents.

  5. To update the report file, click the Import Report File button. In the Import Report File dialog box, enter the path to the updated report file, or click the browse button and navigate to the file.

  6. Click OK.
