Filters

You can apply several different types of filters to grids, smart lists, and board views.

Note: Some filters are not available in all modules.

Context filters

Using context filters, you can filter by a specific program, as well as a release, sprint, milestone, and team.

Program filter

If programs are defined, you can select one or more programs using the program context filter. For details on programs, see Programs.

The program context filter is available in the top banner:

After filtering features for a specific program, features that are not directly related to that program might be displayed. This may occur for one of the following reasons:

  • The feature may have no defined program. When specific programs are selected for the context filter, features with no defined program are also included in the results.
  • The feature may be indirectly related to a selected program, via its children.

If you want to display only items that are directly related to a specific program, filter by program using quick or advanced filters.

Release, sprint, milestone, and team filters

The release, sprint, milestone, and team filters are available in the bar below the top banner.

Click the down arrow next to a filter to select the values you want to filter by, or click the left and right arrows to filter by each possible value in turn.

Active filter values appear in blue. You can toggle a filter value on or off by clicking it.

Context filter Description
Release

Filter by release. The options in the Release list are filtered according to the selected programs.

Note: After filtering for a specific release, additional items that are not directly related to that release might be displayed. These items are indirectly related to a release, via their children. If you want to display only items that are directly related, filter by release using quick or advanced filters.

Sprint Filter by sprint. The sprints are listed in the following order: current, next sprints in ascending order, and past sprints.
Milestone Filter by milestone.
Team Filter by team.

All, Any, No, Default

Instead of selecting a specific value, you can filter certain fields for [All values], [Any value], [No value], or [Default value]. The Sprint filter also includes an option for [Current Sprint].

  • [All values]. Items are displayed with any value for the field, including items with no defined value.

  • [Any value]. Items are displayed with any value for the field, excluding items with no defined value.

  • [No value]. Only items with no defined value for the field are displayed.

  • [Default value]. Items are displayed with the default value for the field, as defined by the admin. If the admin updates the default value, this filter is automatically updated.

  • [Current Sprint]. Items are displayed with the value matching the sprint currently in progress, as defined by the admin. When a new sprint begins, this filter is automatically updated.

Quick filters

Quick filters are useful for filters you want to toggle on and off or change frequently.

Version 24.1 and later: Quick filters and advanced filters are applied independently of one another. If you set both quick and advanced filters, the two sets of filters are combined using AND logic. If the same field is used in both the quick and advanced filters, this may result in conflicts between the filters.

Quick filters are available in the right sidebar. To show the quick filter sidebar, click Show quick filters.

In the filter sidebar, click the Choose Fields + button to select the fields by which you want to filter. Then, under a field, click + to select the values by which you want to filter.

Within a field, you can:

  • Select or clear values individually.
  • Use the Select All or Select None options from the menu next to the field.

Filtering is not possible on memo or long string fields. You can search memo and long string fields, along with other fields, using the grid search. For details, see Search.

Multiple value selection

When multiple values are selected, the filters are evaluated according to the field type:

  • In single-value fields, such as Priority, if you select multiple values, OR logic is applied: An item is displayed if any of the values are found in the item.

  • In multi-value fields, such as Tags or Test Type, if you select multiple values, AND logic is applied: An item is displayed only if all values are found in the item.

Shortcuts

Use the following mouse and keyboard shortcuts to select field values in the quick filter pane:

Shortcut Action
Left click Toggles field value on/off.
Ctrl+left click When clicking on a deselected field value, selects the value and clears all other values.
Right click Sets the field value with the Not equal to operator.

Advanced filters dialog box

Available in versions: 24.1 and later

Using the advanced filters dialog box, you can apply complex combinations of filters, including filter groups and nested levels.

Tip: Watch a video demonstrating how to work with advanced filters. See ALM Octane video gallery.

To access the advanced filters dialog box, click the button in the toolbar above the main grid pane:

Note: In some modules, the advanced filters are available in a bar above the main grid pane. For details, see Advanced filters bar.

When adding a filter, you define three elements: the field, operator, and value.

When applying multiple filters, you define whether the filters are applied using AND or OR logic.

Filtering is not possible on memo or long string fields. You can search memo and long string fields, along with other fields, using the grid search. For details, see Search.

Filter groups

Add a filter group to group multiple filters together. Filter groups enable you to create up to 3 nested levels of filters.

When adding a filter group, you define:

  • Whether AND or OR logic is applied to the group as a whole.
  • Whether AND or OR logic is applied to each of the filters within the group.

Example: In the following example, AND logic is applied to the filter group as a whole, and OR logic is applied within the filter group.

The filtered results include items that have 5 or more story points, and fulfill at least one of the conditions in the filter group:

  • Priority is High
  • App Security Risk is Critical
  • Predicted end date is today

Advanced filters bar

Using the advanced filters bar, you can apply complex combinations of filters, including up to four lines of filters.

To access the advanced filters bar, click the button in the toolbar above the main grid pane:

Note: In some modules, the advanced filters are available in the Advanced filters dialog box. For details, see Advanced filters dialog box.

To add filters to the advanced filters bar:

  1. Click + Add filter.
  2. Select the field to filter by.

Filtering is not possible on memo or long string fields. You can search memo and long string fields, along with other fields, using the grid search. For details, see Search.

  3. Select the operator and define the values to filter by.
  4. Click OK. The displayed results include items that meet the filter conditions.
  5. To add another filter, hover the mouse beside the existing filter and click . Use the arrow to select whether the additional filter is applied using AND or OR logic.

When you add a filter using OR logic, the filter is added on a new line. You can add up to four lines of filters.

Note: Each field can be used only once per line.

Other filter options

The following additional filter options are available.

Cross-filters

When you select a field to filter by, the value usually applies to the field's name attribute. For example, if you filter defects by their related features, the basic way of identifying the features is by selecting them by their names.

With a cross-filter, you can filter on a variety of the field’s other attributes. For example, you can list all the defects that belong to features that you are following, by selecting the feature's Followed by me field in the cross-filter.

The cross-filter arrow button is shown alongside fields that support cross-filtering.

Other filter types

The following filters are available in some modules.

Filter type Description

Show descendants

In the Backlog and Quality modules, in the toolbar above the main grid pane, toggle the following options:

  • Show only direct descendants. Displays only children of the selected node in the Backlog or Application Modules tree.
  • Show all descendants. Displays all descendants of the selected node.

Show/hide indirect features

On the Backlog > Features page, below the main grid pane, toggle the following options:

  • Show only direct features. The results include only features that themselves match the context filter conditions.
  • Show also indirect features. The results include features that themselves match the context filter conditions, and also features with backlog items that match the context filter conditions.

Features that are indirectly associated with the context filter through their backlog items are marked with .

By item in grid

Right-click a value in the grid, and then select the Filter by option. A filter for that field and value is added to the advanced filters.

Any previous filter for the field you are filtering by is replaced.
